Privacy notice
This explains what personal information PS Digital Worx collects when you use this website or our managed website service, why we need it, who we share it with, and your rights. If anything is unclear, email info@psdigitalworx.co.uk.
Who we are
PS Digital Worx is a UK business run by Paul Sumner. For the information described here we are the data controller. You can contact us at info@psdigitalworx.co.uk; our postal address is available on request.
What we collect
- Your account: name, email address and sign-in details (handled by our sign-in provider; we never see your password).
- Your business and project: the answers you give when ordering (business details, goals, services, branding, domain), and the files you upload such as logos, photos and documents.
- Your agreement: the name you type to sign, the date and time, and the internet address the signature came from, so we can show the agreement was accepted.
- Billing: your Direct Debit status and payment records. Your bank details are held by GoCardless, not by us.
- Messages: the requests and messages you send us, and our replies.
- Technical information: basic server logs (such as internet address and browser type) kept for security and to fix problems.
Why we use it
- To provide the service you order: designing, building, hosting and looking after your website and any extras (lawful basis: contract).
- To take payment and keep accounts (lawful bases: contract and legal obligation, as tax law requires us to keep records).
- To contact you about your project: confirmations, previews, reminders and service messages (contract).
- To keep the service secure and working (legitimate interests).
How we use AI tools
We use AI services to help produce your website faster, for example to draft page layouts and code from your answers. To do this we share your business information and the materials you send us (text, logos and photos) with those services. We choose providers that do not use business customers' data to train their models, and every website is checked by a person before you see it. We don't use AI to make decisions about you that have legal or similarly significant effects.
Visitors to the website we build for you
When your website collects information from your own customers (for example through an enquiry or booking form), you are the data controller for it and we process it on your behalf, under the terms of our agreement. Your website will have its own privacy notice, which we can help you write.
How long we keep it
- Project and account information: while you are a customer, then up to 12 months after you leave.
- Invoices, payments and signed agreements: 6 years after the end of the tax year they relate to, as tax law requires.
- Orders that are never completed: deleted after 12 months unless you ask us to keep them for longer.
- When you leave, we give you a copy of your content and data, and delete your website data 30 days after the account closes (see our agreement).
Your rights
You can ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, or to send it to you or another provider in a usable format. Email info@psdigitalworx.co.uk and we will reply within one month. Some information we must keep by law (such as invoices), even if you ask us to delete it.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping it safe
Each customer can only see their own project and records. Files are stored privately, connections are encrypted, and staff access is limited and checked. If something ever goes wrong that puts your information at risk, we will tell you and, where required, the ICO.
Changes to this notice
If we change how we use your information, we will update this page and tell customers by email.
